Operate KnownStock with explicit, explainable workflows

Physical, usable, available, committed and allocated

Physical stock is what confirmed movements place in a warehouse and location. Usable excludes quarantine and blocked states. Availability considers committed, allocated and incoming planning facts without merging their meanings.

Items, presentations and codes

Create an item in a base unit, add optional presentations with exact conversion factors and assign unique internal or GTIN codes. Services may appear in documents but do not create inventory legs.

Warehouses and locations

A warehouse owns its locations. User memberships receive explicit warehouse scopes; Administrators cover the workspace. Reclassifications change location or physical state through confirmed events.

Purchase workflow

Use orders for expected incoming supply, receipts for physical arrival, direct purchase documents where appropriate, and returns or reversals for controlled inverse movements. Operational invoices are not fiscal invoices.

Sales workflow

Orders commit demand; allocation reserves physical quantity; delivery removes it. Delivery-derived invoices do not remove the same stock again. Returns preserve the original causal relationship.

Transfers

Choose an immediate transfer or ship and receive in two phases. Resolve remaining in-transit quantity by receipt, return to origin or documented loss.

Counts, adjustments and audit

Define a count scope, optionally freeze it, capture observations, review differences and approve. Explained adjustments publish immutable facts; users never edit a current balance.

Replenishment

Policies calculate reviewable candidates. Dismiss, postpone or convert a candidate to a draft purchase or production document; conversion itself has no inventory effect.

Light production

Version recipes, confirm an order to plan materials, allocate components and confirm partial runs to consume and produce exact quantities and value.

Shipping weight and dispatch

Classify direct delivery, prepare packages, review theoretical or actual weight, hand over and track incidents. Shipment tracking does not rewrite inventory.

Reports, import and export

Reports declare their inventory watermark and support PDF or audited CSV. Item CSV import is previewed and atomic. Read-only workspaces retain search, reports and export.

Members, profiles and scopes

The Owner is the unique billing Administrator. Administrators create normal pending memberships and deliver a one-use private activation link. Active and pending memberships occupy plan places; disabled and canceled ones do not.

Trial, plans and read-only access

A workspace receives a server-timed 21-day trial with all features and ten member places. Paid Team 3, Team 10 and Team 30 differ only by member limit. An expired trial or paid period becomes read only without deleting data.

Checkout, portal and plan changes

The Owner chooses plan and cycle in the PWA. Paddle Checkout handles payment; only a signed webhook changes rights. The portal handles payment method, documents and cancellation. Annual-to-monthly changes wait for renewal.

Recovery and cancellation

Past-due subscriptions receive seven days from the first event. Recovery clears the billing block without touching inventory. Cancellation preserves access through the paid period and history afterward.

Explicit v1 limits

KnownStock is not accounting, tax, legal e-invoicing, EDI, payments, lot or serial traceability, variable-weight inventory, advanced WMS, MRP, MES or TMS.
