1 · Provider and acceptance

Know who provides the service and when these terms apply.

The provider is the verified publisher identified on this page. By creating a workspace, accepting an invitation or otherwise using the application, the person or organisation using the service (the Customer) agrees to these terms and acknowledges the Privacy Information. A person acting for an organisation confirms that they have authority to do so.

Accessing the public website alone does not create a paid software subscription. A paid relationship begins only when the workspace Owner deliberately authorises a subscription through the published checkout flow.

2 · Website purpose and lawful access

Use the website and application in good faith.

The website explains KnownStock and provides access to its software service. Users must act lawfully and must not impair the security, availability or normal operation of the website or application. Product information and documentation may change as the service develops.

Nothing on the website or in KnownStock constitutes legal, tax, accounting, regulatory or professional advice.

3 · Intended users and accounts

A business workspace needs accountable access.

KnownStock is intended principally for businesses and professional teams that handle physical inventory. Users must provide accurate account information, keep credentials private and report suspected unauthorised access. The Owner is responsible for authorised membership, appropriate roles and removal of access that is no longer required.

Accounts may not be shared between people to avoid the selected member allowance. Warehouse scopes and role permissions must reflect each operator’s real responsibilities.

4 · Service description and boundaries

Focused inventory operations, not an enterprise suite.

KnownStock organises items, presentations, codes, warehouses, locations, purchase and sales documents, transfers, counts, corrections, replenishment, light assembly, dispatch, inventory history, reports and exports.

KnownStock is not an ERP, WMS, MRP, MES, TMS, accounting or tax system, statutory e-invoicing service, payment processor or regulated traceability platform. Version 1 does not cover lots and expiry, serial-number traceability, variable-weight stock, size or colour variants, EDI or advanced warehouse and production planning. The Customer remains responsible for professional judgement and legal obligations.

5 · Trial, plans and member allowances

Try the complete product before choosing a team size.

An eligible new workspace receives one complete 21-day trial without a payment card. The trial supports up to 3 active or pending members and creates no charge. Paid Team 3, Team 5 and Team 10 plans include the same version 1 features and differ by their active-or-pending member allowance.

Current prices, billing cycles and plan details appear on the Pricing page and before checkout. Use must remain lawful and reasonable even where a catalogue, warehouse or document count has no published numerical quota.

6 · Subscriptions, renewals, payments and taxes

Paddle handles the payment transaction.

Monthly and yearly subscriptions renew for the same billing period until cancelled. The price, currency, billing interval and applicable tax are shown before the Owner authorises payment.

Paddle acts as KnownStock’s authorised reseller and Merchant of Record. Paddle processes payment, applicable transaction taxes, receipts, refunds and subscription billing under its buyer terms. The Owner must keep subscription billing information accurate.

7 · Cancellation and refunds

Stopping renewal is different from reversing a payment.

The Owner may cancel through KnownStock’s billing area or the Paddle buyer portal. Cancellation prevents the next renewal and ordinarily takes effect at the end of the current paid period. It does not automatically refund a payment already processed.

Refund requests follow the KnownStock Refund and Cancellation Policy, Paddle’s applicable buyer and refund terms, and any mandatory rights that apply.

8 · Customer data, exports and permissions

The Customer controls the material it enters.

The Customer retains the rights it holds in records and files entered into KnownStock. The Customer authorises the provider and its service providers to host, copy, transmit, back up and otherwise process that material only as needed to provide, secure and support the service.

The Customer must have a lawful basis and the necessary permissions for personal data, supplier or customer details and operational documents entered by its users. Unlawful content, malicious code, material that infringes third-party rights and unnecessary sensitive data must not be uploaded.

Exports help the Customer preserve operational records. The Customer remains responsible for any independent archive required by law, contract or its own continuity policy.

9 · Acceptable use

Protect the service and every workspace.

Users must not attempt to enter another workspace, bypass access or plan controls, interfere with security or availability, introduce malicious code, scrape at unreasonable scale, use the service for unlawful surveillance, or use invitations and recovery links for spam or deception.

Reverse engineering and commercial reproduction are prohibited except to the limited extent expressly permitted by applicable law.

10 · Availability, maintenance and support

Operational care without an invented uptime promise.

Reasonable measures are taken to operate and secure KnownStock, but uninterrupted or error-free availability is not guaranteed. Maintenance, security work, provider incidents and product changes may temporarily affect access.

Support is provided through the published Support page. No response time or service level applies unless it is expressly agreed in writing.

11 · Intellectual property and feedback

Access does not transfer ownership.

The KnownStock name, software, website, visual identity, illustrations, documentation and original content remain the property of the provider or the relevant licensors. During an active trial or subscription, authorised users receive a limited, non-exclusive and non-transferable right to use the service for the Customer’s internal business operations.

Feedback may be used to improve KnownStock without transferring ownership of the Customer’s pre-existing materials or confidential information.

12 · Suspension, expiry and termination

Restrictions follow a stated operational reason.

Access may be restricted where reasonably necessary to address non-payment, an exceeded member allowance, a security threat, unlawful activity or a material breach of these terms. Where appropriate, the provider will give notice and a reasonable opportunity to remedy the issue.

When a trial or paid period ends, the workspace becomes read only under the published account lifecycle: new changes are blocked while authorised search, reports and exports remain available. Subscription cancellation does not delete the workspace. A verified deletion request is a separate process.

13 · Responsibility and liability

Mandatory rights remain protected.

Each party remains responsible for loss caused by its breach, negligence or unlawful conduct. To the fullest extent permitted by law, the provider is not liable for indirect or consequential business loss, lost profit or revenue, decisions made without appropriate professional review, or failures outside reasonable control.

Nothing in these terms excludes or limits liability where doing so would be unlawful, including mandatory liability and non-waivable rights.

14 · Third-party services and links

A link does not transfer responsibility.

Links to Paddle or other third-party services are provided for reference or to enable a related function. Each third party remains responsible for its content, availability, terms and privacy practices. A link does not imply endorsement beyond the stated operational relationship.

15 · Amendments, governing law and contact

Material changes remain visible.

These terms may be amended to reflect product, security, legal or commercial changes. Material amendments will be published with a revised effective date and notified where applicable law requires it.

Spanish law governs these terms. For business Customers, the competent courts are determined under Spanish procedural law, without prejudice to any mandatory forum, consumer or data-protection right. Legal questions may be sent through the verified contact shown on this page or the Support page.
