Goods receipt checklist

Confirm what physically arrived—not what the order expected.

Use the checklist at the receiving point to compare the supplier delivery with the order, identify the item and presentation, record condition and evidence, and assign every discrepancy before confirmation.

  • No card required
  • Every feature included
  • Desktop, tablet and phone

What the checklist covers

Separate expectation from physical observation.

  • Purchase and supplier delivery references
  • Item and presentation identity
  • Expected and observed quantities in the correct unit
  • Packaging and physical condition
  • Barcode or label match
  • Photograph or evidence reference
  • Shortage, excess, damage or identification issue
  • Responsible person and proposed follow-up

Confirm only the accepted quantity

Keep partial and disputed quantities visible.

A purchase order creates expected incoming supply. Only a confirmed receipt adds the quantity physically accepted. Record a partial receipt when part of the delivery is correct, and keep damaged, missing, excess or unidentified goods out of the accepted quantity until the appropriate action is decided.

  • Do not copy the full ordered quantity by habit
  • Do not treat a supplier invoice as a second receipt
  • Keep quarantine or blocked state explicit
  • Link evidence and follow-up to the discrepancy
